Travel Manager
About the role
The Travel Manager will act as the central hub for all mobility needs, managing the end-to-end booking process for flights, accommodations, and event access. Beyond logistics, this role requires a financial mindset to control budgets and expenses, as well as a "duty of care" approach to support our employees whenever they are on the move.
Key Responsibilities:
Travel Logistics & Management:
Take full ownership of all corporate travel arrangements, including booking flights, hotels, transfers, and rail transport for employees attending international fairs, conferences, and client meetings.
Manage the registration process and purchase of tickets/passes for major industry events
Ensure all travel arrangements are made well in advance to secure the best availability and pricing, adhering to strict timelines.
Handle complex international itineraries and coordinate group travel logistics for large teams attending events.
Assist with visa applications and ensure all travelers have the necessary documentation for entry into specific countries.
Employee Support & Duty of Care:
Serve as the main point of contact for all traveling employees, providing support before, during, and after their trips.
Resolve travel-related issues in real-time (flight cancellations, hotel overbookings, missed connections), acting quickly to find solutions and minimize disruption.
Ensure travelers are briefed on itineraries, providing peace of mind to the team.
Maintain traveler profiles (dietary restrictions, seating preferences etc.) to ensure a personalized and comfortable experience.
Budget Control & Expense Management:
Monitor and control travel costs to align with the company’s annual budget.
Review and verify travel-related invoices and employee expense reports, ensuring accuracy and compliance with company policy.
Negotiate corporate rates with preferred hotels and travel agencies to optimize spend.
Produce monthly or quarterly reports on travel spending, analyzing trends to identify areas for cost-saving without sacrificing quality.
Policy & Process Improvement:
Maintain and update Alea’s Corporate Travel Policy, ensuring it remains relevant and is clearly communicated to all staff.
Evaluate and recommend travel booking tools or platforms to streamline the internal booking process.
Key Qualifications:
Experience: 2-3 years of proven experience in Travel Management, Office Management, or an Executive Assistant role with a heavy focus on travel logistics within an international company.
Languages: Native or Bilingual level in English and Spanish is mandatory.
Organizational Skills: Exceptional time management and multitasking abilities; capable of handling multiple itineraries and urgent changes simultaneously.
Financial Acumen: Experience managing budgets, processing invoices, and handling expense reports.
Communication: Strong interpersonal skills with a service-oriented mindset; able to communicate clearly with internal stakeholders and external vendors.
Problem Solving: Ability to remain calm under pressure and make quick, effective decisions during travel emergencies.
Tech Savvy: Proficient in MS Office/Google Workspace and experience using travel booking platforms
